Privacy Policy

Your documents are sensitive. Here's exactly what ApplyApostille collects, why we collect it, and how we protect it.

What we collect

  • Contact details: name, email, phone, and shipping/return addresses.
  • Order details: destination country, document type, US state, processing speed.
  • Uploaded documents: the files you upload for apostille processing.
  • Payment confirmation: we use Stripe; we never see or store your full card number.
  • Basic analytics: page visits, referrer, device type — used only to improve the service.

How we use it

  • To process and ship your apostille order.
  • To contact you about your order (email, phone if needed).
  • To meet legal, tax, and accounting obligations.
  • To improve the service (aggregated, non-identifying analytics).

We do not sell your data. We do not use your documents for any purpose other than completing the order you placed.

Who has access

  • Authorized ApplyApostille staff who handle order processing.
  • The relevant state Secretary of State or federal authority — when required to obtain the apostille.
  • Couriers (USPS, UPS, FedEx, DHL) — for return shipping only, no document contents are shared.
  • Stripe — for payment processing, not for document content.

How long we keep it

Order records (contact, addresses, totals) are kept for 7 years to meet US tax and accounting requirements. Uploaded document files are retained for 90 days after order completion, then permanently deleted from our storage.

You can request earlier deletion of your files via our contact form after your order is delivered.

Security

  • All uploads are encrypted in transit (HTTPS/TLS).
  • Document files are stored in a private, access-controlled bucket — public links are never generated.
  • Admin access requires authenticated sign-in with role-based permissions.
  • Time-limited signed URLs are used internally to retrieve files when staff process an order.

Your rights

You can request a copy, correction, or deletion of your personal information at any time by emailing us. If you're in the EU/UK, you have additional rights under GDPR/UK-GDPR including the right to object and to lodge a complaint with your local data-protection authority.

Cookies & tracking

We use a minimal set of first-party cookies for essential functionality (authentication, session). We do not use third-party advertising cookies.
